The Lobby, Forecourt and Rotunda spaces are available after 5pm for setup except on Tuesday evenings, when the Gallery is open to the public until 9pm. The Heritage Boardroom, Courtroom, and Rooftop Pavilion are available both day and evening. The Gallery Cafè is not available for rentals purposes through the Vancouver Art Gallery.

Rates
The rental fees listed below reflect the base price for rental of Vancouver Art Gallery facilities for a maximum event period of six hours for the Main Floor Gallery and Rooftop Pavilion, and four hours for the courtroom and Boardroom. If an event exceeds these times, or if any guest, vendor, or equipment remain on the premises one and a half hours after the scheduled end of the event or until midnight (whichever comes first), an overtime charge of $500 per half hour will apply. Rental fees include janitorial, engineering, security, and operations services. The Vancouver Art Gallery does not provide catering services, tables, chairs, decor, or linens. Additional security costs may be incurred due to specific client requests.
Access to the Main Floor exhibition is not included in the rental fees, but can be made available with prior arrangement. Additional fees will apply. Below are the rental rates for available event space options.
Deposit
Space is confirmed upon receipt of a non-refundable deposit of half of the rental fee for either the gallery or courtroom rentals. The non-refundable remainder is due 4 weeks prior to the event.

*Note: These are recommended capacities only. Capacity may increase or decrease depending on setup (food and drink stations, stages, etc.). Standing capacity is based on 8 square feet per person and seated capacity on 15 square feet per person.

Additional fees: Main Floor exhibition access until 10pm (does not apply to Courtroom or Boardroom rentals): $1,500. Gallery guides/Animateurs; $225/each.
***Coat Check attendants: $25/each per hour.
***Note: Please note that any event requiring Coat Check services must use Gallery Coat Check staff. One Coat Check attendant per 100 guests recommended.

Security
All rates include security staff and
site supervisor. Security is provided by the Gallery on site security team.

Food and Drink, Photography, Decor
Food and drinks are confined the venue areas when renting the gallery areas. No food or drink is permitted in the exhibition spaces at any time. Special event liquor licenses must be obtained by the renter and presented to the Rental Coordinator seven (7) business days prior to the event. It is illegal to serve alcohol on the premises without this license. Further information can be obtained at www.servingitright.com or 604.633.9798. All photography within the Gallery must receive prior approval. Photography is not permitted in the exhibition galleries. Any design and promotional material that incorporates recognition of the Vancouver Art Gallery requires prior approval.

Insurance Requirements and Indemnification Policy
Minimum liability coverage of five million dollars ($5,000,000) per occurrence for bodily injury and/or property damage is required. SBC Insurance offers reasonable rates. (604.737.3018)

Prohibited Events
The Vancouver Art Gallery is available for private event rentals only. Fundraisers, religious and politically-affiliated events, press and
media events, as well as all publically ticketed events are not permitted in the Gallery.

Storage, Deliveries, and Cleanup
Catering, including food, bar service, flowers, music, and waste removal, are the responsibility of the event organizers and must be removed from the premises immediately following the event. All plant products must be treated with a pesticide before their arrival at the Gallery. Rentals to be placed in the lobby under the stairwell at the end of the event and must be removed by 9:00am the following day. Rental prices do not include food, beverage, music or equipment rentals such as tables, chairs, etc.
